Job Description 

We are seeking an organized, tech-savvy, and detail-oriented PMO Project Coordinator to support our Group Project Management Office in driving governance, standardization, and operational excellence. In this role, you will help streamline project governance processes, maintain PMO documentation, support reporting and analytics, and ensure teams follow established project management standards. 

This position is ideal for someone who enjoys structure, clarity, and continuous improvement—and who is passionate about using modern Microsoft tools to enhance workflows and reporting in project management. 

Job Responsibilities 

PMO Governance & Process Support 

  • Support the implementation and enforcement of PMO governance frameworks, processes, and templates. 

  • Maintain and update project governance documentation, ensuring accuracy and accessibility for all teams. 

  • Track compliance with PMO standards, including reporting cadence, document quality, and risk/issue management. 

Reporting & Data Management 

  • Build and maintain dashboards and reports using Power BI to track KPIs, project health, risks, and performance. 

  • Manage PMO data repositories on SharePoint, ensuring proper structure, version control, and data integrity. 

  • Use Excel to create trackers, analytical reports, and data models that support project decision-making. 

Automation & Workflow Optimization 

  • Design and maintain automated workflows using Power Automate to streamline approvals, notifications, and document flows. 

  • Support PMO tool improvements by building simple applications with Power Apps for forms, requests, and project data capture. 

  • Identify process inefficiencies and recommend automation or digital solutions to enhance PMO operations. 

Project Coordination & Communication 

  • Coordinate PMO meetings, steering committee sessions, and project reviews. 

  • Prepare high-quality presentations and reports using PowerPoint for leadership and executive updates. 

  • Track action items, deadlines, and follow-ups to ensure project teams meet governance requirements. 

  • Support project managers in scheduling, document preparation, and stakeholder communication. 

Documentation & Administrative Support 

  • Create, manage, and update PMO templates using MS Word, ensuring alignment with best practices. 

  • Maintain structured logs for risks, issues, changes, and decisions across projects. 

  • Assist in preparing audit-ready PMO documentation for internal and external reviews. 

Job Requirements 

Education & Experience 

  • Bachelor’s degree in Business, IT, Engineering, or a relevant field. 

  • 1–3 years of experience in project coordination, PMO support, or governance roles. 

  • Familiarity with project management methodologies (PMI standards, Agile, hybrid) is a strong advantage. 


Technical Skills 

  • Acceptable proficiency in Microsoft 365 tools: 

  • SharePoint (site and document management) 

  • Power BI (reports, dashboards, data modeling) 

  • Power Automate (workflow automation) 

  • Power Apps (basic app design for forms/data flows) 

  • Excel (advanced formulas, pivot tables, data cleaning) 

  • PowerPoint (professional presentations) 

  • Word (template creation, documentation) 

  • Ability to analyze data, interpret trends, and present insights. 

  • Experience with project management tools like MS Project, Planner, or similar is a plus.
